Guidelines to Select a Quality Contractor

Determine if the contractor has experience in maintaining buildings of similar size,
density, and nature to yours and has the resources to do so.
Ask for proof of insurance to existing state and federal labor regulations.
Is the contractor's insurance company financially sound and rated. Also, insure that your contractor is bonded.
Ask if employees are required to complete a proper employment application,
criminal record checks, and undertake a drug screen.

Define Your Cleaning Expectations and Needs

Cleaning specifications are written guidelines that identify your building maintenance requirements.
Communicate your priorities and the building's specific maintenance problems carefully to
ensure your expectations will be met

Indicate the amount of cleanable square footage
Indicate the number of persons occupying the building on a daily basis
Indicate the number of restrooms
Indicate whether expendable supplies (tissue paper, paper towels, etc) are supplied by the contractor or supplied by your company

Proposal Package Essentials

The proposal package you receive from your service contractor should address the following 5 essentials:
Level of cleaning and appearance that must be maintained in your building.
Specifications on the cleaning tasks needed in every area of your building time of each task: daily, weekly, monthly, etc.
Expectations regarding the contractor's supervision requirements.
Ask for the number of supervisors and managers on duty and in the building during office hours.
Does the contractor have a direct response program for emergencies? Request details.

The Service Agreement, including these details:
Cleaning specifications - the time period the contract is in effect
the bid / contract price - the renewal period
